When invoices arrive in different inboxes and tracking depends on scattered messages, it is difficult to know what is still pending. Organizing invoice receipt is the first step toward a traceable accounting workflow.
Bring the entry points together
Identify the inboxes that receive invoices and the documents attached to each submission. Review who has access and how work is assigned today. This information helps define centralized receipt while preserving the link to the original document.
The HITECH LAB Supplier Invoice Portal supports Microsoft 365 or Google email integration. Implementation begins by reviewing the inboxes, permissions and rules each company’s operations require.
Turn tracking into clear statuses
Define what it means for an invoice to be pending, in progress, posted or in error. Each status needs an entry condition and a person responsible for moving the work forward. The team can then review the queue without reconstructing conversations.
Also define how duplicate invoices are identified and what happens when information is incomplete. A central view is useful when it preserves the document reference and makes progress visible.
Separate capture, validation and posting
Capturing invoice data is not the same as approving it or posting it to the accounts. Agree on what information can be extracted, which validations it must pass and which cases need the accounting team’s intervention.
AI-powered OCR can support document data capture. Its fields and validations need to match the document type and process. Test representative documents, including those that frequently require corrections.
Connect the ERP within a defined scope
To integrate invoice posting, document the accounting rules, required references and error handling. Receipt, event queries and ERP posting are parts of a workflow that needs to be reviewed from end to end.
HITECH LAB supports portal integration with Odoo or DMS. Other ERP systems require an assessment of their interfaces and the connector needed. Compatibility and scope are confirmed before we present a proposal.
Measure the whole journey
A useful starting point is to observe how many documents are pending, where they get stuck and what causes rework. Keep a baseline to compare workflow performance after implementation.
Automation is built on agreed responsibilities and rules. To review your process, start by describing how an invoice arrives, who validates it and how it ends up recorded in the system.
